Getting Started

  • How do I get started with Tallwater?

    Start by booking a 30-minute call at calendly.com/rossimeacham. On that call, we'll ask about your business, your current processes, and what's not working. We'll give you an honest read on whether we think we can help and which tier is the right fit.

    If it makes sense to move forward, we'll send over a simple engagement agreement and get started on your operational audit.

  • What happens on the initial call?

    It's a working conversation, not a pitch. We'll ask about:

    • What your business does and roughly how it operates
    • Where leads come from and how you handle them today
    • What tools you're currently using (or not using)
    • Where you feel the most friction or inefficiency
    • What you've tried before that didn't work

    We'll also answer any questions you have about how we work, what the retainer includes, and what you can realistically expect. By the end, we both have a clear picture of whether this is a good fit.

  • What is the operational audit?

    Before we build anything, we spend time understanding how your business actually works. This isn't a formal report — it's a practical intake process. We'll map out your lead flow, your current tools, your team structure, and your biggest operational gaps.

    The audit typically takes 3–5 business days and happens during the first week of the engagement. It's what ensures we build the right things in the right order rather than starting with the wrong assumption.

  • How long does the initial setup take?

    Most clients have their core systems live within two to three weeks. The first week is the operational audit and planning. Weeks two and three are the primary build — CRM setup, workflow configuration, integrations, and testing.

    More complex builds (multiple locations, custom reporting, AI tools) take longer. We'll give you a realistic timeline before we start.

  • What do I need to provide to get started?

    Not much. The most useful things:

    • Access to any tools you're currently using (even if you're not using them much)
    • A list of your current staff and their roles
    • Examples of how you currently handle new inquiries (even just a text thread or email chain)
    • Any existing customer data you have, even in a spreadsheet

    You don't need to have anything polished or organized. We're used to starting from wherever things actually are.

  • Will this require a lot of my time?

    The audit and initial build will require some of your time — plan for 2–3 hours in the first two weeks for discovery conversations and review. After that, ongoing involvement is minimal. Our goal is to reduce demands on your time, not add to them.

    Check-in frequency depends on your tier: monthly (Essential), bi-weekly (Growth), or weekly (Partner). Outside of scheduled check-ins, we handle issues as they come up without needing to pull you in.

  • What if I'm already using a CRM or other tools?

    That's fine. We'll evaluate what you have, understand what's working and what isn't, and either build on top of it or recommend transitioning to a better fit. We don't have a financial incentive to replace tools that are working well — we only recommend changes when they'll produce better outcomes.
