Who we are
Tallwater is a fractional CTO and digital operations firm based in Belfast, Maine. We build and manage operations infrastructure for small service businesses. This policy explains how we handle information collected through this website and through our work with clients.
What we collect
When you use this website, we may collect the following:
- Contact form submissions — name, email address, business type, and any details you include in your message.
- Newsletter signups — email address only.
- Scheduling via Calendly — when you book a call, you interact directly with Calendly. Their privacy policy governs what they collect.
- Basic analytics — we may collect anonymous usage data (page views, traffic sources) to understand how visitors use the site. This data is not tied to individuals.
We do not use tracking pixels, retargeting cookies, or behavioral advertising.
How we use it
Information you submit through the contact form is used to respond to your inquiry and schedule a call if appropriate. Newsletter signups are used only to send the Tallwater newsletter. We do not send marketing emails to people who have not opted in.
We do not sell your information, share it with advertising platforms, or use it to build profiles for third parties.
Client data
When you become a Tallwater client, we access your business systems (CRM, scheduling tools, communications platforms) to do the work your retainer covers. This may include contact lists, job records, transaction data, and customer communications.
You own all of this data. We access it to build and maintain your systems — nothing else. We do not use client data for any purpose outside of delivering your services. We do not share it with other clients or third parties except as required to operate the tools you've engaged us to manage (e.g., Twilio for SMS delivery, Supabase for your reporting dashboard).
When your engagement ends, we assist in returning full control of your systems and data to you.
Third-party tools
This website may link to or integrate with third-party services including Calendly (scheduling) and any newsletter or analytics providers we use. Each of these has their own privacy policies. We choose tools that take privacy seriously, but we cannot speak for their practices directly.
Data retention
Contact form inquiries and newsletter sign-ups are retained only as long as they are relevant — typically until a business relationship ends or you ask us to remove your information. If you'd like your data deleted, reach out and we'll take care of it promptly.
Security
We take reasonable steps to protect the information you share with us. This includes using secure, reputable infrastructure for this website and for the client systems we manage. That said, no system is perfectly secure, and we can't guarantee that information will never be accessed improperly. If a breach occurs that affects your data, we will notify you promptly.
Your rights
You can ask us at any time to:
- Tell you what information we have about you
- Correct inaccurate information
- Delete your information
- Stop receiving the newsletter

We may update this policy from time to time. Material changes will be posted here with a revised effective date. We won't retroactively change how we handle data you've already shared without notifying you.
