FAQ — General Topics
-
Is this a one-time project or an ongoing relationship?
It's an ongoing relationship. We don't do one-time project engagements because they don't produce durable results — systems need maintenance, and businesses change. Our model is a monthly retainer that covers both the initial build and the ongoing management of your operations infrastructure.
That said, there's no long-term contract required. You can cancel with standard notice at any time.

What kinds of businesses do you work with?
Primarily trades (plumbing, electrical, HVAC, general contracting), property management, marine and boatyard operations, and hospitality. The common thread is that these are service businesses with 2–15 employees that have consistent inbound volume and significant operational overhead.
We're not the right fit for every business. If you're not sure whether we're a match, book a call and we'll tell you honestly.

What tools do you use to build client systems?
Our core stack:
- GoHighLevel — CRM, pipeline management, SMS/email automation, appointment scheduling
- n8n — workflow automation and integrations
- Twilio — voice and SMS infrastructure
- Claude API — AI-powered tools for document processing, customer communication, and internal tools
- Supabase — data infrastructure and custom reporting dashboards
We choose tools based on what produces the best outcomes for the client, not vendor preferences or commissions.
-
Do I own the systems you build?
Yes. The systems, data, and configurations we build for you are yours. If you ever end the engagement, we provide full documentation and access to everything. You're not locked into us technically.
-
How quickly will I see results?
Most clients see meaningful impact within the first 30–60 days. The most common early wins are in lead response (fewer leads falling through) and time savings on administrative work. Longer-term outcomes — increased review volume, improved pipeline visibility, measurable revenue recovery — typically become clear by month three.
We track results transparently and will tell you if something isn't working.
-
What if the systems you build don't work for us?
We build systems around how your business actually operates — not generic templates. If something isn't working the way you expected, we fix it. That's what the ongoing retainer is for.
We've never had a client tell us a system was fundamentally wrong. We have had systems that needed significant iteration in the first 60 days — that's normal, and it's built into our process.
-
Can I upgrade or downgrade my tier?
Yes. If your business grows or your needs change, you can move to a higher tier. If you want to reduce the scope of engagement, you can step down. Tier changes take effect at the start of the next billing cycle.
-
Do you work with businesses outside of Maine?
Yes. Most of our clients are in coastal Maine, but we work with businesses elsewhere in New England and nationally when the operational fit is right. Everything we do can be managed remotely.
